有關外貿郵件的范文格式

一、使用統一的信紙(郵件背景),好有公司的商標,主要產品的圖片類別等等。外貿管理軟件中可以自動設置、修改,再進行使用。

二、格式正確,統一,郵件主題合理,拼寫無誤。所有發給客戶的郵件應該采用統一的格式。外貿管理軟件可以幫助設置相應的格式與主題。

(1)郵件主題最好有公司名字等,比如公司名字是E_PORT,行業是PLASTIC,這封郵件的內容是給一款產品報價,那么主題可以寫E_port Plastic/quotation of item A. 這樣有一個好處,可以方便客戶以及你自己以后查找給客戶的信息,對于來往郵件很多的客戶,開始的時候我往往要花很多時間去查找以前的報價以及 其它 資料,但是現在通過主題就很方便知道郵件大概內容是什么,節省很多時間。

(2)郵件正文兩端對齊:對于段落很多的郵件,正文兩端對齊會顯得很整潔。

(3)第一封郵件最好寫上Mr.或者Ms.某某,職位寫SALES MANAGER等,不管你是不是經理,寫上沒關系,你職位高客戶會覺得把他當回事,有好處。

(4)落款有公司標識以及詳細聯系資料

三、版面整潔,在OE里面將撰寫郵件的字體,字號(10-12號比較好)都設置好,不要一會大字一會小字;也不要花花綠綠的,特別是不要全篇都是大寫字母,會增加閱讀的難度,讓人反感。除非是對一些需要特別提醒客戶注意的地方,可以用大寫,加粗,特殊顏色等突出顯示。

四、拼寫無誤,在每封郵件發出之前都應該利用拼寫檢查工具檢查是否全部拼寫無誤。

五、表述準確,能夠準確表達我方的觀點,不要使客戶產生任何的歧義,盡量避免有歧義的單詞或者 短語 ,盡量避免使用 俚語 等。

七、有條理,能夠讓客戶清楚地明白郵件內容,談完一件事再談另外一件,混在一起會讓人頭暈。很多時候,用1,2,3,4等標出來你要說的東西會非常有用,客戶很清楚就知道你要說或者問什么。

八、方式多樣,比如配合作圖說明,照片說明等,往往很多事情用語言很難說清楚,但是如果給一張圖紙,或者一幅

照片,那就一目了然了。比如你說你如何玉樹臨風,說再多什么用,來張PP不就明白了?

九、及時,做到當天郵件當天答復,在收到郵件后應該馬上整理出自己不能解決的技術問題,及時提供給技術部門或者供應商,要求他們在什么時候給予詳細答復。養成一個好習慣,在早上收到郵件后,整理出哪些需要詢問技術人員或者供應商的,將問題給他們后,再來回復能夠回復的郵件。如果不能當天答復,給客戶一個說明,為什么答復不了,并承諾一個明確的時間。

十、適時跟蹤,一般客戶都是同時詢問很多的供應商,所以要適時提醒他你把他放在心里,并讓他知道你在等待。比如公司有了什么技術改進或者新的產品開發,可以發送給很多客戶,或許機會就在那里。外貿管理軟件會隔一階段以系統通知的方式提醒業務員,某個客戶有多久沒有跟蹤聯系了。

十一、學會維護和客戶的關系,這個是最難的一點,同時也是最重要的,需要自己體會。坦誠對人,不要欺騙,基本的一點。適當的恭維也很有用。
